Data segmentation overview
With data segmentation, you can restrict the visibility of employee and event data based on company organization or location. Staffing companies with multiple clients may not want employees of one client to know about employees in other clients. Holding companies with multiple subsidiaries may not want employees in one subsidiary to view employees in other subsidiaries. Data segmentation helps achieve this.
Employee and event data visibility
In this application:
- EditAllUsers, I9Administrator, ViewForms, Documents, and ViewAllTasks privileges all provide access to every employee's profile or events.
- The Manage Users team and its associated assignment category and ViewOthersTasks privilege and its associated assignment category provide access to a smaller set of employees or events that match employee assignment category values.
- Event coordinators can edit the profile of the “for whom” employee as well as the event.
- Anyone with these privileges gets “Find Employee” capability but they can search for any employee in the system. The ability to drill down into an employee's profile or events from there is controlled by the privileges.
- If a user has Reports (and further I-9 Reports) privileges, the user can view all the data in the reports but would only be able to drill down into employee profiles or events/tasks as defined by those privileges.
When this application is configured for data segmentation, you can restrict the rows someone can view in the above searches.
Configuring data segmentation
In a new installation or upon upgrade of existing customers, data segmentation is not turned on (enabled) by default. If you want to use data segmentation, your customer administrator must contact Support to enable this feature and perform the steps to configure it.
