Assigning Form I-9 Section 2 task to an email address

You can assign the Section 2 task of Form I-9 to an email address. The benefit? It reduces administration time in managing assignment of Form I-9 section 2 tasks when they need to be completed by a person who does not have a user account in SilkRoad Onboarding.

The process

  1. The employee completes Section 1 of Form I-9.
  2. Section 2 of Form I-9 is assigned to an email address.
  3. The person (email address) is sent an email that contains a link to the Form I-9 Section 2 task.
  4. The person opens the email link and enters their name, email address (must exactly match the email address the task was assigned to), and phone number.
  5. Once logged in, the person reviews and completes the Form I-9 Section 2 task.
  6. Once completed, a Thank You page opens and the session ends.

Key info

  • The person whose email address is assigned acts as an authorized representative of the organization; however, there are no restrictions on who this person is.
  • To assign a task to an email address, the task assignee must have the ability to reassign tasks—for example, they are an event coordinator. The task assignee must also be on a team that has the External Task Assignment privilege.
  • The email link is good for three days. After that, it expires.
  • The person's email address, full name, and phone number are collected and populate the audit note in SilkRoad Onboarding.
  • The task notification (Task Assigned to an External User) can be specialized just like any other task notification.
