Assigning Form I-9 Section 2 task to an email address

You can assign the Section 2 task of Form I-9 to an email address. The benefit? It reduces administration time in managing assignment of Form I-9 section 2 tasks when they need to be completed by a person who does not have a user account in SilkRoad Onboarding.
The process
- The employee completes Section 1 of Form I-9.
- Section 2 of Form I-9 is assigned to an email address.
- The person (email address) is sent an email that contains a link to the Form I-9 Section 2 task.
- The person opens the email link and enters their name, email address (must exactly match the email address the task was assigned to), and phone number.
- Once logged in, the person reviews and completes the Form I-9 Section 2 task.
- Once completed, a Thank You page opens and the session ends.
Key info
- The person whose email address is assigned acts as an authorized representative of the organization; however, there are no restrictions on who this person is.
- To assign a task to an email address, the task assignee must have the ability to reassign tasks—for example, they are an event coordinator. The task assignee must also be on a team that has the External Task Assignment privilege.
- The email link is good for three days. After that, it expires.
- The person's email address, full name, and phone number are collected and populate the audit note in SilkRoad Onboarding.
- The task notification (Task Assigned to an External User) can be specialized just like any other task notification.
