Offer and rejection letter templates

Templates make it easy for recruiters and recruiter managers to create, maintain, and generate candidate offer and rejection letters. Letters are generated in Rich Text (RTF) format, which is a universally recognized standard for formatted documents. Documents in RTF format can be opened in Microsoft Word, WordPad, and other software applications.

Note: Do NOT use Microsoft Word to edit offer/rejection letter templates. Even though RTF files can be edited in Microsoft Word, MS Word adds proprietary formatting that affects merge field functionality. WordPad is the only tool that is supported for creating and editing letter templates.

Using offering letters

  • After candidate reviews and interviews are completed, an offer can be extended and managed within SilkRoad Recruiting. Recruiters can send offer letters to candidates directly within the system and store pertinent offer/hire information.
  • Save time by having customized offer/rejection letters for different business units within your organization. As your company grows, you can choose to add more customized offer/rejection letter templates.

Best practices

Download the SilkRoad templates and make them your own. You can choose to insert merge fields and custom fields; however, you must use the exact fields provided within your own system including appropriate brackets, parenthesis, and other characters.

Merge field examples may include: (Date), (Candidatefirstname), (CompanyName), $(OFSalary), (ofsalarytype), (JobOwner).

Customize examples may include: Add your company logo, add your own company statement or EEO statements, and change the wording within the templates.

EEO Statement example: “XYZ Company is an Equal Opportunity Employer. XYZ Company does not discriminate based on race, religion, color, sex, gender identity, sexual orientation, age, non-disqualifying physical or mental disability, national origin, veteran status or any other basis covered by appropriate law. All employment is decided based on qualifications, merit, and business need.”
